Receptionist

As the largest and fastest growing region of Haines Watts we are looking for highly skilled entrepreneurial individuals to join to the team to assist us in achieving our strategic goal of being the number one advisor to owner managed businesses.

We are a top 15 accountancy firm specialising within the owner managed business area across the UK. A well-established firm since the 1930’s with an entrepreneurial and dynamic feel who are continuing to grow nationally as well as regionally.

The Receptionist role is offering full time hours 9.30am – 6.00pm, a competitive salary and benefits package.

The Receptionist duties will be:

  • Covering reception and being the first point of contract for all clients and visitors
  • Answering the phone and transfer/take calls
  • All administration tasks, including letters, photocopying, scanning, manual updates, document binding, other daily filing and paperwork
  • Covering other admin tasks when team members are unavailable
  • Providing refreshments for visitors and internal meetings
  • Organising lunches for meetings or events
  • Maintenance of the meeting rooms
  • Receiving deliveries and distribute to staff
  • Booking couriers and taxis
  • Ensuring tea/coffee/soft drinks are fully stocked
  • Checking stocks and ordering stationery supplies for the office
  • Delivering reliable administrative support
  • Ensuring reception area is tidy and presentable at all times

Bookkeeper

The Bookkeeper role is offering a highly competitive salary, progression within the team and study support if required.

The Bookkeeper duties will be:

  • Sales, purchases and nominal ledger management
  • Inter-Company transactions / recharges / reconciliation
  • Petty cash and expenses management
  • Reconciling bank and credit card statements
  • Dealing with currency / international payments and claims
  • Review debtors / creditors for old or negative balances and adjust as necessary
  • VAT reconciliation
  • Wages transactions and reconciliation of salaries and wages control accounts
  • Preparation and filing of clients’ VAT Returns and EC Sales Lists from the accounting records supplied
  • Producing financial reports and management information
  • Liaison with Auditors regarding year end statutory accounts
  • Carrying out assignments to agreed timetable and budget
  • Ensuring that each bookkeeping file has completed and up to date “VAT Notes” at the front of the file
  • Keep up to date with relevant technical material

Administration Support Role

We are looking to recruit a Part Time Administration Support Role in our Exeter office to work on Thursdays and Fridays 8.30am until 5pm. As this is a job share role, you may be infrequently asked to swap days and vice-versa with your fellow part time admin support staff in agreement with the Admin Manager.

You will be working on reception answering a busy switchboard phone and undertaking a varied number of administive tasks. Some duties include:

  • Meeting & greeting clients and offering/making refreshsments
  • Audio & copy typing
  • Scanning incoming post
  • Dealing with outgoing post
  • Filing & archiving
  • Organising lunches
  • Setting up new clients on IRIS
  • Banking
  • Asisting with mail shots
  • Checking stocks and ordering stationery supplies for the office
  • Delivering reliable administrative support

Experience

  • Previous experience of working as an office assistant
  • Experience of customer service would be advantageous
