Executive Assistant

The role involves interacting with a wide range of internal and external stakeholders usually at a senior level in order to assist the Director of Operations with their initiatives to improve the successful and effective operation of Hoare Lea. The role will involve project managing business initiatives and supporting the implementation of operational processes within the business. The role aims to support and manage effective change to meet the business objectives set, and ensures communication and engagement of change to the business. The role also provides important PA support to the Director of Operations.

Key responsibilities

  • Maintain and provide PA an administrative support service for the Director of Operations daily schedule, including forward planning of their workload and diary.
  • Organise appointments and meetings as requested including planning and organising travel arrangements, hotel bookings and lunch reservations on behalf of the Director of Operations.
  • Service key meetings, including preparation of confidential documents, letters, reports, memos and presentations and taking minutes where necessary. Organise refreshments and lunches where required.
  • Supports the Director of Operations in delivering the operational strategy – including project support and project management for key initiatives. Takes direct responsibility for the delivery of some operational process and projects.

Personal Assistant

The role of the PA is essential to the smooth operation of the various departments together with the day to day assistance to the Partners (x4), Director and staff as appropriate. The role also involves support with some of the business development and marketing aspects of the business including production of reports, fees, pre-qualifications, tenders and presentations; as well as personnel matters relating to People and Development.

  • Proficient in the use of the Microsoft Office suite of products including Microsoft project.

  • Tact and discretion when handling confidential documents and information
  • Confidence – must be able to deal with individuals at all levels
